Sunshine Coast Retreat – Booking Terms & Conditions

1. Payment Terms

• 30% non-refundable deposit due at time of booking

• Remaining balance due by (e.g. 45 days prior to retreat)

2. Cancellations & Transfers

• Deposit is non-refundable but may be transferred to another participant with approval

• Cancellations within 45 days of retreat are non-refundable

• Transfers must be approved by retreat hosts and require completed documentation by the new attendee

3. Health & Participation

• All attendees must complete a Pre-Health Questionnaire and the Liability Waiver

• Participants must disclose any injuries, medical conditions, or relevant health history prior to the retreat

• This retreat is not a substitute for medical treatment or professional healthcare

• Participation is voluntary and undertaken at your own risk

4. Travel & Insurance

• Participants are responsible for organising their own travel to and from the retreat

• Comprehensive travel insurance is strongly recommended, including coverage for:

– Illness or medical events

– Cancellation

– Pre-existing conditions (including Type 1 Diabetes)

• No refunds will be provided for cancellations due to illness or medical conditions

• The Pilates Retreat Club and Type 1 Foundation are not responsible for travel disruptions, delays, or

missed flights

5. Medical Responsibility (Type 1 Diabetes)

• Participants are responsible for managing their Type 1 Diabetes throughout the retreat

This includes:

• Monitoring blood glucose levels

• Administering insulin

• Managing nutrition and hydration

• Bringing sufficient medication and supplies for the duration of the retreat

Participants confirm they are capable of independently managing their condition.

The Pilates Retreat Club do not provide medical care.

6. Medical Emergencies

• In the event of a medical emergency (including hypoglycemia, hyperglycemia, or diabetic ketoacidosis),

participants consent to receiving emergency medical treatment if required

• Participants accept responsibility for any associated medical costs

7. Medication & Supplies

• Participants are responsible for bringing all required medications, insulin, monitoring devices, and

backup supplies

• The Pilates Retreat Club are not responsible for loss, damage, or shortage of medical supplies

8. Code of Conduct

• Respectful, inclusive, and supportive behaviour is expected at all times

• The Pilates Retreat Club reserves the right to remove any participant behaving inappropriately, without

refund

• Drug use and excessive alcohol consumption are not permitted during retreat activities

9. Leaving the Premises

• Participants are encouraged to remain on-site at the Novotel Sunshine Coast Resort during scheduled

activities

• If participants choose to leave the premises, they do so at their own risk

• The Pilates Retreat Club are not responsible for any incidents or injuries that occur off-site

10. Assumption of Risk & Liability

• Participants acknowledge and accept the risks associated with retreat activities, including physical

movement and managing a pre-existing medical condition such as Type 1 Diabetes

• To the extent permitted by law, The Pilates Retreat Club are not liable for any injury, loss, or damage

incurred during the retreat.

11. Photo & Media Release

• By attending, participants agree to be photographed and filmed during the retreat

• Content may be used for promotional purposes unless written opt-out is provided prior to the retreat

12. Health Policies

• Any applicable government health guidelines will be followed

13. Travel

• Travel to and from the retreat location is the responsibility of the participant

• Recommendations may be provided but are not guaranteed
